Roadmap for successful ERP package selection

ERP stands for “Enterprise Resource Planning”. ERP is software that supports all processes within a company. And because all processes are supported by only one ERP system, the data of customers, items, suppliers, etc. only need to be entered once.

How do you increase the chances of a successful ERP package selection?

On the basis of this step-by-step plan, you will learn how to perform an ERP package selection.

Step 1 — Why the change and purpose

An ERP selection and/or implementation, like any improvement, starts with awareness. If people are not aware of their behavior, their performance, their influence, their role, forget it. Explain why! In addition, the objective to be achieved must be defined and determined. This objective may arise from bottlenecks or a desire to grow, from the point of view of a cost approach or, for example, from increasing reliability.

Step 2 - Defining the scope

Determining the scope has to do with defining — which (sub) processes of the company are involved in the ERP implementation?

Step 3 — Process description

The current process is recorded in flow charts and process descriptions. This service as a starting point — this is the basis that must be automated. This document is called the “Blueprint” (process description, tasks and responsibilities).

Step 4 — Defining requirements and wishes — MoSCoW

Based on the current structure, system and process (step 3), “business requirements and user wishes” are drawn up focused on the future. These are important in determining which ERP systems are eligible for the selection process. Step 1 is certainly included in this.

Step 5 - Approach suppliers

Based on the previous steps, a number of packages and/or suppliers are approached. After a short selection, at least 2 and a maximum of 4 ERP systems remain.

Step 6 — The ERP Selection

In this phase, suppliers present themselves and their ERP systems to the project team. They do this on the basis of a business case drawn up by the client. The supplier is assessed by completing a scorecard. In addition to these workshops, reference visits are carried out. A choice of principle is made for 1 ERP package.

Step 7 — The supplier

Agreements are made with the preferred supplier about the implementation. A price is agreed, but a project schedule is also drawn up. Make sure that the relationship with the supplier is and remains good. Go for a partner! Once the contracts are signed, celebrate success!
